This policy explains what personal information we collect when you use Polywork, how we use and store it, and the choices you have. It sits alongside our Terms and Conditions. By using the Service, you consent to the handling of your information as described here.

1. Who this policy covers

This policy applies to the Polywork web application, the Polywork AI coach, our live sessions and community spaces, and anything else we provide as part of your membership.

2. What we collect

Account information. Your name and the email address you use to sign in, so we can create and secure your account.
Content you create. The entries, answers, and assets you build inside the Platform as you work through the programme. We store these so the Platform works for you and your work is there when you return.
Payment information. Handled by our payment processor, ThriveCart. We do not see or store your full card details.
AI coach inputs. What you type to the AI coach so it can respond. See section 4 for how this is handled.

3. How we use your information

to create your account and keep you signed in;
to provide and run the Platform and the assets you build inside it;
to deliver founding-member support, including the monthly Q&A and group chat;
to respond to you when you contact us;
to meet our legal and tax obligations.

We do not sell your personal information.

4. The AI coach

When you use the AI coach, what you type is sent to Anthropic to generate a response. We do not access or store the content of your conversations with the coach. Anthropic processes that data on our behalf under its own terms. Because we use Anthropic's paid API, your inputs are not used to train AI models. Even so, do not enter sensitive personal information you would not want processed in this way.

5. Where your data is stored

The Platform stores your account information and the content you create with our hosting provider, Supabase, on servers located in the United States. This means your information is held outside Australia. By using the Service, you consent to your information being stored and processed overseas.

6. Third parties we work with

We rely on a small number of trusted providers to run the Service. Each handles your information under its own terms and privacy policy:

ThriveCart — checkout and payment processing.
Supabase — hosting and storage of your account and content (United States).
Anthropic — powers the AI coach.
Community and email tools — our community spaces and member emails run on third-party platforms whose terms also apply.

7. Cookies

We use essential cookies to keep you signed in and to make the Platform work. We do not use analytics or third-party tracking cookies.

8. How long we keep your data

We keep your account information and the content you create for as long as your account is active. When you delete your account or ask us to delete your data, we permanently delete it within 30 days, except where we are required to keep certain records (for example, transaction records) to meet legal obligations.

9. Your rights

You can ask us to:

access the personal information we hold about you;
correct information that is inaccurate or out of date;
delete your account and your data;
raise a concern about how we have handled your information.

To make a request, email support@twofeetin.co.uk. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner.

10. Children

The Service is for adults. You must be at least 18 years old to use it, and we do not knowingly collect information from anyone under 18.

11. Changes to this policy

We may update this policy from time to time. The current version will always be available at joinpolywork.com/privacy. Where changes are material, we will take reasonable steps to let you know.
